Asset Management

Equipment

Track large equipment, monitor condition, operating hours, and location.

Equipment

Equipment represents large machinery and significant site assets that require tracking, maintenance, and location management. Monitor condition, operating hours, and publication status to optimize asset utilization and plan maintenance schedules.

Create and manage equipment

  • Navigate to Equipment and click Add equipment to create a new asset record.
  • Enter equipment details: name, equipment type, manufacturer, model, serial number, and purchase information.
  • Set initial condition rating and status to reflect current state.
  • Upload photos or documentation to maintain a complete equipment record.

Track operating hours

  • Record operating hours to monitor usage and plan maintenance intervals.
  • Update operating hours regularly to maintain accurate utilization data.
  • Use operating hours in maintenance planning to schedule service based on actual usage.

Monitor condition and status

  • Track equipment condition: excellent, good, fair, poor, or broken.
  • Set equipment status: draft, published, or archived. New records default to published unless a different status is selected.
  • Update condition ratings after inspections or maintenance work.
  • Filter equipment by condition or status to identify assets needing attention. Archived equipment is excluded from compact pickers used by other workflows.

Location tracking

  • Record current location for each piece of equipment.
  • Update locations as equipment moves between job sites or storage facilities.
  • Use location data to coordinate equipment allocation and prevent conflicts.

Maintenance planning

  • Link equipment to maintenance tasks to schedule service work.
  • Track maintenance history through linked tasks and reports.
  • Set up recurring maintenance reminders based on operating hours or time intervals.

Integration with projects and work orders

  • Assign equipment to projects or work orders to reserve assets.
  • View equipment assignments to understand utilization across projects.
  • Coordinate equipment availability to ensure resources are available when needed.

Best practices

  • Create equipment records for all significant assets that require tracking.
  • Update operating hours regularly to maintain accurate utilization data.
  • Set clear condition ratings after inspections to identify maintenance needs.
  • Track equipment locations to coordinate allocation and prevent conflicts.
  • Link equipment to maintenance tasks to build a complete service history.
