Offers
Create formal proposals from inquiries, manage pricing, and convert accepted scope into work orders or invoice drafts.
Offers
Offers are formal proposals sent to customers, typically created from qualified inquiries. They contain detailed pricing, terms, and conditions, and can be converted into work orders or invoice drafts once accepted.
Create offers
- Convert inquiries into offers to create formal proposals with all position data.
- Create offers directly from projects when you need to send a proposal. If the project resolves to exactly one customer organization, the offer also pre-fills that client organization.
- Link offers to specific organizations and assign responsible team members.
Duplicate offers
- Use Duplicate from the list or detail page to create a new
draftoffer with a fresh offer number. - The duplicate keeps the linked inquiry, project, issuer and client organizations, copied positions, and any embedded content page.
- The new offer date is set to today. If the original had a validity window, Einblick keeps the same duration when it can calculate it.
Manage offer content
- Include detailed position lists with quantities, unit prices, and descriptions.
- When the Products feature is enabled, quote positions can use a published product as their catalog source. Selecting a product pre-fills title, description, unit, unit price, and default tax rate; unique products cannot be used with a quantity above
1. - Offer totals and PDFs use the linked inquiry's currency when present. Offers without an inquiry use the workspace default currency and fall back to EUR if no default is available.
- Add terms and conditions, delivery dates, and payment terms.
- Attach supporting documents such as technical specifications, drawings, or reference materials.
- Use templates to standardize offer formats and speed up creation.
Track offer status
- Monitor offer stages:
draft, sent, accepted, declined, cancelled, orarchived. - Update status as customers respond to track your sales pipeline.
- Filter offers by status, offer date, valid-until date, project, client, issuer, or source inquiry to focus on active proposals or follow up on pending ones.
- After an offer leaves
draft, it cannot move back todraft.
Edit after sending
- The edit form stays available after an offer leaves
draft, but customer-facing fields, positions, and embedded description content are locked. - Internal links to the project or inquiry and the offer status can still be updated.
- Non-draft offers cannot be deleted. Duplicate the offer when you need a new draft revision.
Link to projects and inquiries
- Offers maintain links to their source inquiries for full traceability.
- Associate offers with projects to track the complete sales process.
- View all offers related to a project or inquiry from their respective detail pages.
Convert to work orders
- When an offer is accepted, convert it to a work order to begin execution.
- Position data and project links transfer automatically to the work order when available. Offers without a project can still create work orders.
- Maintain the connection between offer and work order for financial tracking and reporting.
Create invoices
- Use Create invoice from quote from the quote detail page or row actions to create a
draftinvoice. - The invoice copies non-archived quote positions, links back to the inquiry and project when available, and opens for review before sending.
Issuer organizations
- Link offers to issuer organizations—entities that create and send the offers.
- This is useful when multiple companies or divisions within your organization create offers.
- Filter and report on offers by issuer to understand which parts of your organization are most active.
Best practices
- Create offers promptly after qualifying inquiries to maintain momentum in the sales process.
- Use consistent pricing structures and terms to simplify customer comparisons.
- Set clear expiration dates on offers to encourage timely decisions.
- Convert accepted offers to work orders or invoice drafts immediately when the next step is clear.
- Track conversion rates from inquiries to offers to offers to work orders to identify improvement opportunities.
