Members

Manage workspace members, roles, invitation status, and membership access.

Members

The Members directory shows who belongs to the current workspace, which role each person has, and which invitations are still pending. Use it to manage workspace access without changing a person's memberships in other workspaces.

Browse and search members

  • Open Members to see all members of the current workspace in a searchable table.
  • Filter by membership role or status and search by name or email to find people quickly.
  • Open a member to review workspace-specific details such as role, groups, profile data, work times, and absences.

Invite members

  1. Click Invite Member from the Members page.
  2. Enter one or more email addresses and choose their workspace role. Separate addresses with line breaks or semicolons. The role starts with the workspace default from Workspace Settings -> General, but you can change it before sending. The selector offers the protected Admin role and custom roles.
  3. Einblick sends one invitation per unique valid email address. Successful invitations appear in the pending invitations list until they are accepted, canceled, or expire.
  4. If the email already belongs to an existing Einblick account, the invitation still creates a workspace membership request instead of a duplicate account.
  5. Accepting an invitation or reactivating a member is blocked when the workspace has reached its active-member limit. Increase the limit or free a seat first.

Pending invitations

  • Workspace admins see pending invitations at the top of the Members page.
  • Each entry shows the invited email address, assigned role, and when the invitation was sent.
  • Pending invitations can be resent or canceled before the recipient joins.

Manage memberships

  • Update a member's role and membership status from the member detail page.
  • Maintain membership-specific fields such as job title, workspace phone number, birth date, social insurance number, bank details, groups, and imported profile details.
  • Bank details can include account holder name, bank name, IBAN, and BIC/SWIFT. They are stored on the current workspace membership, not on the person's global account.
  • Birth date, social insurance number, bank details, and workspace phone are local to the current workspace membership. They do not change the person's account profile or other workspace memberships.
  • Admins can also maintain employment records with start and end dates plus expected weekly hours. These records drive monthly expected hours on timesheets.
  • Members can belong to multiple workspaces. Changes on this page only affect the current workspace.

Remove members from a workspace

  • Remove from Workspace deletes the current workspace membership only.
  • It does not delete the person's Einblick account or remove their access to other workspaces.
  • The last active admin in a workspace cannot be removed until another admin is assigned.

Roles and status

  • Roles determine which features a member can use inside the current workspace.
  • Manage custom roles in Workspace Settings -> Roles. Renaming a custom role updates its label for existing members and pending invitations because memberships store the role record.
  • Custom roles cannot be deleted while they are assigned to any member.
  • Active members can use the workspace normally.
  • Inactive members stay on record but should not be treated as active participants in the workspace.
  • Reactivating an inactive member counts against the workspace's active-member limit.

Best practices

  • Review pending invitations regularly so stale access requests do not accumulate.
  • Use roles that match current responsibilities and adjust them when responsibilities change.
  • Remove or deactivate memberships promptly when someone no longer needs access to the workspace.
  • Use groups to organize members for communication and shared workflows.
