Fleet management

Vehicles are critical assets that require regular upkeep and clear accountability.

Maintain accurate records

  • Vehicle lists, search results, and detail views only include records your role can read. Creating, editing, archiving, and deleting vehicles follow the matching vehicles role actions and any conditional record rules on the role.
  • Bulk deletion accepts at most 25 vehicles per operation.
  • Store registration details, inspection dates, and insurance documents for each vehicle.
  • Registration documents and vehicle photos must be readable files from the same Workspace as the vehicle; files from another Workspace are rejected.
  • Track odometer readings and fuel usage to plan maintenance and control costs.
  • Flag vehicles as unavailable when they are in service or reserved for upcoming jobs.

Plan maintenance

  • Set recurring reminders for safety inspections, oil changes, or custom maintenance plans.
  • Assign tasks to workshop teams directly from the vehicle record.
  • Use the repair section on the vehicle detail page to review repairs newest first and move each repair between ongoing, done, and archived.
  • Repair records must be attached to a vehicle, tool, or equipment item in the same Workspace; repairs for items in another Workspace are rejected.
  • Attach service reports and invoices so you maintain a full lifecycle history.

Coordinate with projects

  • Reserve vehicles for projects or tasks to avoid booking conflicts.
  • Review availability calendars to ensure critical resources remain accessible during peak periods.

Analytics

Use vehicle data in Reports to analyze utilization, downtime, and cost trends. Combine it with telemetry integrations to surface exceptions automatically.
