Festivals

Festivals group multiple events and festival days. From a festival, you can review events, add new ones, and manage its schedule.

Festival Title and Description support language variants. New records use the Workspace content language as their source, and translations are maintained in the festival form.

A festival can define a default event type. It must be an active type from the same Workspace. When set, event creation from that festival or one of its day columns preselects the type and skips the normal type picker; without a default, you choose the type as usual.

Use Programme day starts at when the programme continues after midnight. With a boundary of 06:00, for example, a slot at Saturday 01:00 still belongs to Friday's festival day. Leave the field empty to use normal calendar days. Einblick evaluates the boundary in the festival timezone, or the Workspace timezone when the festival has none.

Festival views

• General: Core details, volunteer signup rules, coverage, analytics, description, and event calendar.
• Festival Days: Create and manage the days that make up the festival.
• Events: List events filtered by this festival.
• Guest List: Review and search complimentary ticket and name-only guests across all ticket-selling events in the festival. Each entry keeps its event context, and staff can add guests for a selected event from this view.

General analytics

The General tab uses the festival's actual events, days, and assignments.

• Volunteer coverage compares confirmed assignments with the required volunteers across the festival's whole-event and per-slot duties. Requested, declined, and withdrawn assignments do not fill coverage.
• The volunteer chart shows cumulative confirmed assignments grouped by the day the assignment was created in Einblick.
• Events per day counts events attached to each festival day. Days without events stay visible with zero.
• If a festival has no festival days yet, the events-per-day chart uses the festival date range as empty day markers.
• The calendar previews the festival's event slots, grouped by event.

Quick actions

On the Events tab, use “Add Event” to create an event prefilled with this festival and its default event type when configured. On Festival Days, add days to structure your schedule. Users with event update access can download the festival's duty-roster PDF; it groups confirmed duties by festival day and omits pending requests.

Volunteer signup rules

The festival form can limit volunteer self-signup across its events:

• maximum assignments per person per programme day
• maximum assignments per person across the festival
• prevention of overlapping assignments
• optional signup opening and closing times

A blank maximum means unlimited. These rules apply to self-signup only. Organizers can still make a manual assignment when operational planning requires an exception; Einblick warns about overlaps without blocking it.

Changing the festival timezone or programme-day boundary recalculates day assignments from event slot times, so review the Festival Days tab afterwards.

Deleting a festival always deletes its festival days. Linked events are kept by default and are unlinked from the festival and festival days; enable the event deletion option in the delete dialog only when those events should be removed too.
