Organizations
Manage customer and partner organizations with contacts, projects, and financial records.
Organizations
Organizations represent companies, clients, partners, or any external entities you work with. There are two types: client organizations (customers you bill) and issuer organizations (your own companies that issue invoices).
Create an organization
- Navigate to Organizations and click Add organization.
- Fill in the form across its tabs:
General tab
- Name: Legal or display name of the organization.
- Avatar: Upload a logo or profile image.
- Logo (dark/light): Upload logos optimized for dark and light themes—these appear on PDFs.
- VAT number: Tax identification number for invoicing.
- Is Issuer: Toggle to mark this as one of your workspace's own issuing organizations (see below).
- Marking an organization as an issuer does not make it the default automatically. The default issuer for new quotes, invoices, and work orders is selected separately in System Settings -> Naming.
Address tab
- Complete address details: street, house number, postal code, city, country.
- Additional fields for European-style addresses (stair, floor, door).
- Geographic coordinates for map integration.
Contacts tab
- Link contacts who work for this organization.
- Select from existing contacts or create new ones.
- Set one contact as Primary for invoice documents.
Bank Details tab
- Add one or more bank accounts for the organization.
- Fields: account holder name, bank name, IBAN, BIC/SWIFT.
- The first bank account is treated as primary and appears on PDFs.
- Useful for issuer organizations that need payment details on invoices.
Naming tab (issuer only)
Configure automatic numbering for documents issued by this organization:
- Invoice naming template: Pattern for invoice numbers (e.g.,
INV-{YYYY}-{####}). - Offer naming template: Pattern for offer numbers.
- Work order naming template: Pattern for work order numbers.
- Inquiry naming template: Pattern for inquiry numbers.
Templates support placeholders like {YYYY} (year), {MM} (month), {####} (sequential number).
Issuer vs. client organizations

| Client | External customers you bill. Has address and contacts for invoicing. |
You can have multiple issuer organizations if you operate different companies or business units. When creating an invoice, select which issuer should appear on the document. New quotes, invoices, and work orders can also prefill a workspace-wide default issuer from System Settings -> Naming.
Set up an issuer organization
- Create or edit an organization.
- Enable Is Issuer in the General tab.
- Fill in bank details in the Bank Details tab.
- Upload logos (dark and light versions) for PDF headers.
- Configure naming templates in the Naming tab.
Link contacts to organizations
- Each organization can have multiple contacts.
- One contact can be marked as Primary—this person's details appear on invoice PDFs.
- Contacts can also be flagged to Receive invoice copies.
Set a primary contact
- Go to the organization's Contacts tab.
- Find the contact and toggle Primary.
- Only one primary contact per organization is allowed.
Browse and review organizations
- Switch between table and grid view depending on whether you want dense rows or card-based browsing.
- Organization cards surface issuer/client type, contact count, primary contact or email, phone, website, and city.
- The organization detail page includes a Projects tab. It lists projects linked through the organization relation and lets you create a new project with that organization prefilled as the customer.
Merge duplicate organizations
- Select at least two organization rows and choose Merge organizations from the selected actions.
- Pick the organization to keep; the comparison dialog shows key fields and linked data before you confirm.
- Linked data, including contacts, financial documents, project links, employments where the organization is the employer, groups that use it as their default employer, shares, activity and automation history, directory import sessions and rows, newsletter targets and recipients, page and email links, and assistant executions, moves to the kept organization. The other organization records are deleted.
Integration with other features
- Invoices: Select issuer organization (who sends) and client organization (who receives). Primary contact appears on PDF.
- Offers: Same issuer/client structure.
- Employments: Active issuer organizations can be selected as the legal employer for member employment records.
- Work orders: Link to client organization for context.
- Projects: Associate projects with client organizations and review those project links from the organization detail page.
- Inquiries: Track which organization made the inquiry.
View organization financials
From an organization's detail page:
- See all invoices issued to or by this organization.
- View linked offers and work orders.
- Track total revenue and outstanding amounts.
Best practices
- Set up your issuer organizations with complete bank details and logos before creating invoices.
- Use naming templates to maintain consistent document numbering.
- For each client organization, designate a primary contact.
- Keep VAT numbers and addresses up to date for compliance.
- Review and update organization data periodically.
